VILLA OWNER GUIDES · BALI · Tabanan
Create a clear delivery check for your Tabanan villa
A receipt should reflect what arrived, not just what was ordered. A simple receiving procedure makes shortages and substitutions easier to resolve.
This is an owner guide. HostKeeper’s operating priority is Uluwatu and the Bukit; management in this area must be confirmed for the exact property before any agreement.
Prepare the receiving reference
Keep the order details available to the person receiving the delivery: item references, quantities and any approved alternatives. Identify where items will be stored. If another person will receive the goods, send the latest order rather than an earlier shopping list that may have changed.
Check before updating the stock record
Compare delivered quantities and items with the order. Note visible damage, missing items or unapproved substitutions. Keep packaging information when it helps the supplier identify the issue. Mark unresolved goods separately and follow applicable product storage instructions rather than placing everything into usable stock immediately.
Use a discrepancy receipt
The record should distinguish an accepted delivery from an open supplier question. Assign one person to request clarification and confirm the outcome.
Example receipt: “Order reference — received on — accepted items — discrepancy — photo reference — supplier contacted — agreed next step — stock updated.” Record a replacement as a new receipt linked to the original issue, preventing an unresolved shortage from disappearing.
Fictional example — Receipt does not mean conformity
A hypothetical villa in Tabanan orders a labelled set of replacement items. The receiver signs for three packages but finds that one package contains a different reference from the request. Another package is unopened, so its contents are not yet checked. The stock sheet initially shows the entire order as available because the delivery message said “received”. The coordinator separates package receipt from item verification and keeps the mismatch in a discrepancy row. The correct package enters usable stock only after the agreed check. This fictional example does not imply that a particular supplier made an error, and it avoids inventing return terms or delivery guarantees.
Separate receiving and stock acceptance
Use the order reference to check the delivered item before updating usable stock. A signature records reception, while the item row records matching, uncertainty or discrepancy. Assign the follow-up to the receiving contact and preserve the packaging reference needed to discuss the difference, without assuming the supplier’s remedy in advance.
| Order line | Received item | Check state | Next action |
|---|---|---|---|
| Reference R1 | Package A | Matched | Add to usable stock |
| Reference R2 | Different label in B | Discrepancy recorded | Ask supplier to clarify |
| Reference R3 | Package C unopened | Contents unchecked | Assign item check |
Practical owner checklist
- Latest order available.
- Items and quantities compared.
- Discrepancies recorded separately.
- Supplier outcome and stock update linked.
Questions owners ask
Should a signed delivery slip replace a stock check?
No. Keep the delivery document, but separately verify what was received and usable. A discrepancy record helps explain why the order and available stock do not yet match.
Twelve ordered does not mean twelve usable
Hypothetical example — not a client result or a market forecast
Hypothetical example: twelve items are ordered and ten arrive, including one visibly damaged item. Nine enter usable stock; two missing items and one damaged item remain unresolved. The receiving record separates the three discrepancies and links the supplier’s response to this delivery rather than marking the order fully received.
