Organising parcel deliveries to a Denpasar villa
A guest may want a parcel delivered, but that does not automatically make the villa a reception desk. Agree the receiving arrangement before the guest gives the address to a sender.
This is an owner guide. HostKeeper’s operating priority is Uluwatu and the Bukit; management in this area must be confirmed for the exact property before any agreement.
Confirm the receiving arrangement
Ask who will be present and whether that person agrees to receive the expected parcel. Confirm the address and entrance description used by the sender. State any practical limits directly, such as needing an agreed recipient, without promising all-day attendance or acceptance of every delivery.
Use a minimal receipt record
A model record can contain guest or booking reference, expected parcel reference, receiving person, receipt confirmation and collection by the guest. Keep tracking details private and do not open a parcel merely to discover who it belongs to.
Close the handover
Agree where an accepted parcel is kept and how the guest collects it. If delivery fails or arrives outside the arrangement, ask the guest and courier to confirm the next step. On departure, reconcile anything still held so another visitor does not inherit an unidentified item or an unresolved collection request.
Fictional example: Separate delivery receipt from transfer to the guest
A fictional guest expects two parcels while away from the villa. The agreed receiving contact can accept them between 13:00 and 16:00 but has no instruction for an evening delivery. One parcel arrives at 14:10 with its outer packaging visibly torn. The contact records the condition without opening the contents or deciding whether anything is missing. The second parcel remains with the delivery service because no recipient is available after the agreed window. A minimal log records a parcel reference and acknowledgement when the guest collects the first item. It omits unnecessary contents and identity information, keeping delivery receipt separate from actual handover to the intended person.
The decision this record supports
Agree the receiving window and recipient before suggesting the villa as a delivery point. Log visible packaging condition without inspecting private contents. Close the parcel record only when the intended recipient acknowledges receipt; an accepted delivery and a completed guest handover are two distinct events in the record.
| Parcel reference | Receipt observation | Holding or delivery status | Recipient acknowledgement |
|---|---|---|---|
| P01 | Received 14:10; outer package torn | Kept in agreed receiving location | Pending guest collection |
| P02 | Attempted after agreed window | Not accepted; delivery service retains | No handover recorded |
| P01 collection | Guest collects same reference | Handover time recorded | Acknowledged by intended recipient |
Practical owner checklist
- Agree reception before sharing the delivery address.
- Identify the person authorised to receive the parcel.
- Record receipt and the agreed storage location.
- Confirm guest collection before closing the record.
Questions owners ask
Can the listing promise that every parcel will be accepted?
Only describe a service that has been explicitly agreed and can be delivered. Otherwise ask guests to confirm each proposed delivery arrangement beforehand.
Reconcile received parcels before departure
Hypothetical example — not a client result or a market forecast
Hypothetical scenario: a guest expects 4 parcels under an agreed receiving arrangement. Three are received; 2 of those are collected by the guest and 1 remains in the agreed storage place. The fourth has not arrived. Keep 1 stored parcel and 1 unreceived delivery as separate open entries, rather than describing both as missing from the villa.
