HOSTKEEPER BALI · WORKED EXAMPLES
12 illustrative villa management case studies
Use these worked examples to understand a villa budget and the decisions behind it. Each case is an educational simulation with invented inputs, not a managed client property or a market benchmark.
How the calculation works
Gross rental revenue = paid nights × nightly rate. Platform deduction = gross × platform share × platform rate. From month 4, management = (gross − platform deduction) × 19%. Owner balance = gross − platform deduction − management − listed operating costs. During the three eligible introductory months, only the management commission becomes zero.
01 · Uluwatu
Simulation: a one-bedroom Uluwatu villa, line by line
Educational simulation — hypothetical figures, not a client result or revenue forecast.
Assume 18 paid nights in a 30-day period at IDR 1,200,000 per night. This exercise separates rental revenue, platform fees, management and running expenses.
Inputs for this simulation
- Paid nights / available nights: 18 / 30
- Occupancy on available nights: 60%
- Nightly rental rate: 1,200,000 IDR
- Platform fee / share of revenue subject to it: 15% / 100%
Nightly prices, paid nights, platform deductions and operating costs are invented inputs for this exercise. They are not Bali market data or quotes.

|---|---|
| Gross rental revenue | 21,600,000 IDR |
| Assumed platform fees | 3,240,000 IDR |
| Management fee basis after platform fees | 18,360,000 IDR |
| Management commission: 19% after platform fees | 3,488,400 IDR |
| Illustrative villa operating expenses | 4,800,000 IDR |
| Illustrative owner balance before tax | 10,071,600 IDR |
| Eligible first three complete months: 0% management commission | 0 IDR |
| Introductory-period owner balance before tax | 13,560,000 IDR |

- Pool and garden: 800,000 IDR
- Water, electricity and internet: 1,200,000 IDR
- Maintenance and supplies: 800,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
What this example helps you check
- Booked nights and the nightly rate are inputs, not a forecast.
- Calculate the 19% management fee after the assumed platform deduction.
- The remaining owner balance is before tax, financing and costs excluded from this exercise.
The illustrated owner balance is before taxes, finance repayments, property acquisition costs, depreciation, major construction and other owner costs not listed. It is not net profit or a guaranteed payout.
The first three eligible complete months waive only HostKeeper’s management commission. Platform fees and actual villa expenses remain. Confirm dates and agreed scope in the proposal.
02 · Bingin
Simulation: budget for a two-bedroom Bingin villa arrival
Educational simulation — hypothetical figures, not a client result or revenue forecast.

- Arrival and luggage assistance: 500,000 IDR
- Other operations: 500,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
What this example helps you check
- Verify the actual approach and luggage route before budgeting assistance.
- Arrival assistance is a separate running expense in this illustration.
- A lower operating expense would change the balance one for one, with all other inputs held fixed.

Simulation: three bedrooms in Pecatu and turnover costs
Educational simulation — hypothetical figures, not a client result or revenue forecast.
Assume 16 paid nights at IDR 3,000,000, with a hypothetical 12% platform fee. The cleaning and linen lines are costs assumed for this period, not local prices.
Inputs for this simulation
- Paid nights / available nights: 16 / 30
- Occupancy on available nights: 53.33%
- Nightly rental rate: 3,000,000 IDR
- Platform fee / share of revenue subject to it: 12% / 100%

- Pool and garden: 1,500,000 IDR
- Water, electricity and internet: 2,400,000 IDR
- Maintenance and supplies: 2,600,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
What this example helps you check
- The same booked-night total can require different numbers of turnovers.
- Build cleaning costs from planned turnovers and a verified supplier quote.
- A platform percentage must be checked against the actual account and contract.
04 · Ungasan
Simulation: a two-bedroom Ungasan villa in a maintenance month

- Water, electricity and internet: 1,400,000 IDR
- Maintenance and supplies: 1,800,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
What this example helps you check
- Separate supplier expenses from the management commission.
- Connect each maintenance amount to an approval and supporting record.
- One maintenance month cannot establish annual profitability.

- Pool and garden: 2,400,000 IDR
- Water, electricity and internet: 2,700,000 IDR
- Maintenance and supplies: 2,000,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
What this example helps you check
- A pool-and-garden cost is property-specific, not a standard Balangan tariff.
- Record the agreed visit schedule and the spending included in the quote.
- The higher booking total in this scenario does not predict future demand.

Inputs for this simulation
- Paid nights / available nights: 12 / 30
- Occupancy on available nights: 40%
- Nightly rental rate: 1,100,000 IDR

- Water, electricity and internet: 1,100,000 IDR
- Maintenance and supplies: 1,000,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
Alternative: 16 paid nights and an extra cleaning cost
Under the alternative assumptions, the owner balance before tax is IDR 7,317,600: a +IDR 2,629,400 difference versus the base illustration.
| Budget line | Amount in IDR |
|---|---|
| Gross rental revenue | 17,600,000 IDR |
| Assumed platform fees | 2,640,000 IDR |
| Management fee basis after platform fees | 14,960,000 IDR |

| Eligible first three complete months: 0% management commission | 0 IDR |
| Introductory-period owner balance before tax | 10,160,000 IDR |
What this example helps you check
- Additional booked nights increase gross revenue, but fees and preparation costs also change.
- This comparison assumes the same nightly rate and platform fee.
- Check actual extra cleaning, laundry and utilities before using the result for a decision.

Inputs for this simulation
- Paid nights / available nights: 18 / 30
- Occupancy on available nights: 60%
- Nightly rental rate: 3,200,000 IDR
- Platform fee / share of revenue subject to it: 18% / 100%

| Eligible first three complete months: 0% management commission | 0 IDR |
| Introductory-period owner balance before tax | 36,960,000 IDR |
What this example helps you check
- A platform deduction changes both the fee basis and the owner balance.
- Lower fees are not a promise of equal booking volume or the same net rate.
- Use the deductions from the real booking statement instead of a generic rate.

- Paid nights / available nights: 20 / 30
- Occupancy on available nights: 66.67%
- Nightly rental rate: 2,100,000 IDR

- Water, electricity and internet: 1,800,000 IDR
- Maintenance and supplies: 1,500,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.

Under the alternative assumptions, the owner balance before tax is IDR 20,917,000: a −IDR 1,530,900 difference versus the base illustration.
| Budget line | Amount in IDR |
|---|---|
| Gross rental revenue | 42,000,000 IDR |
| Assumed platform fees | 6,300,000 IDR |

What this example helps you check
- Apply platform costs only to the revenue that incurs them.
- Direct bookings still carry possible payment, marketing and servicing costs.
- The calculated difference is not evidence that switching channels will increase profitability.

Educational simulation — hypothetical figures, not a client result or revenue forecast.
Reserve 7 nights for the owner in a 30-day period, leaving 23 potentially available nights. Assume 13 of those nights are paid stays at IDR 1,000,000; owner nights generate no rental revenue in this illustration.
Inputs for this simulation
- Paid nights / available nights: 13 / 23
- Occupancy on available nights: 56.52%
- Nightly rental rate: 1,000,000 IDR
- Platform fee / share of revenue subject to it: 15% / 100%

- Maintenance and supplies: 600,000 IDR
- Additional owner-stay expenses: 400,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
What this example helps you check
- Distinguish paid nights, owner nights and available nights in the calendar.
- Owner use can create expenses even without rental income.
- This exercise assigns no management commission to zero-revenue owner nights; agree any separate services in the contract.

| Introductory-period owner balance before tax | 20,470,000 IDR |
What this example helps you check
- Show a one-off repair separately from the ordinary monthly expenses.
- An approved invoice changes the period balance; it is not a recurring monthly tariff.
- Keep the approval, invoice and completion evidence attached to the same record.

- Water, electricity and internet: 3,000,000 IDR
- Maintenance and supplies: 2,200,000 IDR
Gross rental revenue excludes separately charged guest cleaning and other pass-through amounts. Listed cleaning and laundry costs are assumed owner-paid costs in this example; reconcile them with any guest charges to avoid counting twice.
What this example helps you check
- Report the same currency, period and booking-date rule consistently.
- A calculated balance is not a promise of an immediately available transfer.
- Check outstanding platform payments, approved invoices and prior balances before remittance.
