Preparing for a changed villa arrival in Nusa Penida
An expected arrival is a planning input, not a guarantee. For an island villa, separate transport information from the arrangements needed to receive guests safely when their plans change.
This is an owner guide. HostKeeper’s operating priority is Uluwatu and the Bukit; management in this area must be confirmed for the exact property before any agreement.
Keep one arrival record
Use a model sheet with booking reference, expected arrival, latest confirmed information, local contact and next update. Mark information as provisional until the traveller confirms it. Avoid treating an old message as the current plan; record when each update was received.
Assign a person and a fallback
Agree who receives the guest and who can take over if that person becomes unavailable. Check the actual route to the villa and the entrance instructions. Keep key access secure; a delay should not lead to leaving a key in an improvised public place.
Check what remains ready
If plans change, review entrance lighting, the prepared room and any assistance that was specifically agreed. Send a concise update explaining the next step and the contact to use. Confirm transport details with the traveller or operator rather than inventing an alternative timetable.
Fictional example · A changed arrival needs a confirmed receiving fallback
A fictional guest booking in Nusa Penida reports that their arrival plan has changed. The original receiving contact will no longer be available at the newly requested time. The coordinator records the guest's latest information as provisional until the new transport arrangement is confirmed, then checks an authorised backup contact. Room readiness is retained as its own status, and secure key access is shared only through the appropriate private channel. The guest gets one message explaining what is confirmed, what is still being checked and who will send the next update. No key is left in a public place and no revised transport time is invented to make the message sound complete.
Activate a fallback only after acceptance
Ask the backup contact to accept the specific receiving task before naming them in the guest confirmation. Recheck the entrance arrangement and keep the old version marked superseded. If the new plan remains uncertain, provide a clear communication contact rather than promising an unverified arrival or improvising public key access for convenience.

Questions owners ask
Does this plan guarantee arrival or transport?
No. It organises the villa response to a change. Travel arrangements and available transport must be confirmed with the traveller and relevant operator.
Update the receiving plan when arrival changes
Hypothetical example — not a client result or a market forecast
Hypothetical scenario: the traveller changes the expected arrival from 16:00 to 18:00, two hours later. The receiving contact confirms availability, but the backup has not answered. Update one arrival record, retain the backup as unconfirmed and recheck agreed entrance assistance. Neither time should be presented as a guaranteed transport arrival.
