Build a backup list that matches the actual job
A second phone number is not yet a reliable backup. For your Jembrana villa, check whether an alternative contractor can handle the specific task and what needs confirming before a replacement visit is arranged.
This is an owner guide. HostKeeper’s operating priority is Uluwatu and the Bukit; management in this area must be confirmed for the exact property before any agreement.
1. Compare the actual scope
List the tasks for which an alternative is needed. Ask each candidate about relevant experience, equipment and limits of work. A person available for cleaning is not automatically suitable for a technical repair; verify competence against the job.
2. Confirm availability at the right time
Record when contact details and general availability were checked. Confirm availability again for the proposed visit. Specify who approves replacement work, shares access instructions and receives the completion report so the change does not create an unassigned task.
3. Use a backup verification matrix
Give each task a row with primary contact, alternative, verified scope, date checked and remaining conditions. Example: pump assessment — specialist competence unconfirmed — do not schedule yet. Complete the missing checks before presenting the alternative as ready to act.
Fictional example — A backup contact without a matching assignment
A hypothetical owner in Jembrana keeps an alternative contractor’s number for when the usual person is unavailable. The team needs someone to inspect a specific installed appliance, but the backup contact previously helped with a different task. A coordinator sends the actual scope, model reference and access arrangement before asking for availability. The contact accepts a visit window but has not confirmed the equipment task. The backup matrix therefore keeps scope acceptance open. Another contact can handle supply collection, which is recorded as a separate service. This fictional example does not guarantee local contractor availability; it demonstrates why a saved number is not yet a confirmed replacement.
Verify the job match before substitution
A replacement needs acceptance of the actual task as well as availability and access. Keep those checks in separate fields and do not treat a positive scheduling reply as technical scope confirmation. If the match remains unclear, ask for clarification or another appropriate contact before presenting the assignment as covered.
| Task | Backup role | Scope acceptance | Availability state |
|---|---|---|---|
| Appliance inspection | Technical contact B | Not confirmed | Window accepted |
| Supply collection | Collection contact C | Accepted | Date to reconfirm |
| Guest preparation | Preparation contact D | Instructions received | Awaiting acceptance |
Practical owner checklist
- Backup linked to a specific task.
- Competence and work limits checked.
- Visit availability confirmed separately.
- Approval and handover responsibilities defined.
Questions owners ask
Can the primary contractor choose a replacement alone?
Define the agreed process first. A proposed replacement still needs the appropriate scope, access and approval checks, with a clear person accountable for the handover.
A backup matrix with one scope still unverified
Hypothetical example — not a client result or a market forecast
Hypothetical example: three tasks need backup arrangements. Alternative providers have a verified scope for two tasks; competence for the third is still unconfirmed. The matrix marks two scopes checked and one pending. Availability must still be confirmed for the requested visit, even where the scope has already been checked.
