Keep forgotten belongings traceable and private
If a guest leaves something in your Jembrana villa, start a private record before the item changes hands. The process should show where it was found, who holds it and what return arrangement has been agreed.

1. Record the finding discreetly
Note date, room or area and the person who found the item. Describe what is visible without unnecessarily opening personal belongings. Keep photographs private and limit access to the people handling the matter. Use the agreed procedure for sensitive items.
2. Label and store the item
Assign an item reference and a suitable storage location. Record each handover. Contact the relevant guest through an established channel and ask for enough identifying detail to confirm the claim, without publicly sharing their belongings or personal information.
3. Use a return instruction card
Include item reference, verified claimant, agreed collection or delivery method, confirmed destination and handover status. Do not send it to a guessed address. Document the approved arrangement and completion evidence, then update the record so the item is not offered twice.
Fictional example — A forgotten item without a confirmed recipient
In a fictional villa in Jembrana, a cleaner finds a small bag after departure. A message from someone claiming to be the guest asks the team to give it to a driver, but neither the recipient nor the handover instruction is confirmed through the agreed channel. The coordinator creates a private item reference and stores the bag in the designated place without publishing its contents. The return record distinguishes the finding, the verified instruction and the eventual handover evidence. Until those instructions are clarified, the driver request remains pending. This example provides an organisational record only; it does not create a legal retention period or identify a real guest.
Verify the return instruction before handover
Keep the item reference and private storage location together, then confirm the recipient and collection arrangement through the established guest contact route. Record who accepted and completed the handover. A message requesting collection is not the same as a verified instruction, and the public team log does not need the item’s personal contents.
