VILLA OWNER GUIDES · BALI · Canggu

A dependable availability calendar for your Canggu villa

Published by HostKeeper Bali ·

A calendar should explain when a villa can genuinely welcome guests. Bookings, owner visits, maintenance and cleaning all affect availability. This guide helps owners organise those decisions.

This is an owner guide. HostKeeper’s operating priority is Uluwatu and the Bukit; management in this area must be confirmed for the exact property before any agreement.

Choose one calendar as the reference

Identify the calendar that controls availability and list every booking channel connected to it. If synchronisation is used, check its limitations with the provider. After an important change, verify the dates on each channel rather than assuming every update is immediate.

Make blocked dates understandable

Label owner stays, inspections, repairs and provisional holds separately. Give each temporary hold a review date and a person responsible for releasing it. Keep a short explanation internally so another team member understands why the dates cannot yet be sold.

Set rules around real preparation time

Define minimum stays, arrival windows and any gap required between reservations. Check those rules against cleaning capacity and unfinished work. Agree how exceptional requests are approved, including early arrival or late departure, before promising them to a guest.

Check the next reservations together

Review upcoming arrivals with the team responsible for preparing the villa. Confirm dates, guest numbers, access instructions and any agreed exception. When a cancellation occurs, reopen dates only after checking that the property and staff are available for another reservation.

Fictional example: Separate a hold from a confirmed stay

An owner reserves 12–14 November for a family visit while a guest asks about 14–17 November. In this fictional villa, the first departure is at 11:00 and preparation needs until 16:00. A temporary enquiry hold also covers 17–19 November, but nobody has accepted it. The calendar manager records three different statuses instead of one unexplained grey block. The family visit remains unavailable, the guest dates require a confirmed preparation window, and the enquiry receives a review deadline. Staff can then explain each night without treating a pending enquiry as a booking or promising an unverified early arrival.

The decision this record supports

Keep the owner block and enquiry hold separate. Release the hold only after its deadline and a check of current commitments. Accept the adjacent stay only when preparation can be completed within the agreed arrival window; an available calendar date alone does not confirm readiness.

Practical owner checklist

  • Reference calendar and channels identified.
  • Owner stays and work dates labelled.
  • Stay rules match preparation capacity.
  • Exceptions and reopened dates verified.

Questions owners ask

Can stay rules change after a booking?

Use the conditions agreed for that reservation. Apply revised rules to future availability and clarify any requested change directly with the guest before accepting it.

Should a provisional hold stay blocked indefinitely?

Give it a deadline. The responsible person should confirm the booking or release the dates after checking that no other commitment affects them.

A calendar with distinct blocks

Hypothetical example — not a client result or a market forecast

Hypothetical scenario: in a 30-night calendar, 18 nights are booked, 4 reserved for the owner and 3 blocked for repairs, with no overlap. Only 5 nights remain open. Record a reason and responsible person for each block before publishing availability.
